Demandforce + Telemedicine

If your office offers Telemedicine services, there are a number of features in Demandforce that you can use to help guide your customers through the process of their virtual appointment.

Demandforce now offers a Telemedicine platform for your practice. Securely consult with patients through HIPAA compliant video conferencing that features screenshare, group conferencing, and a virtual waiting room. Even if your practice decides to use a different Telemedicine platform, there are ways you can use your Demandforce portal with your platform of choice to create a seamless virtual experience for your customers.

Keep reading to learn how to use Demandforce to enhance any Telemedicine platform.

Email Campaigns

Let patients know that you are offering Telemedicine by sending targeted email campaigns using our new Telemed email template and Demandforce’s powerful patient segmentation.

Your portal’s Email Campaign Builder should now have pre-written Telemedicine templates that you can use as-is or edit to your liking.

If you have Campaign Studio 2.0, you now have the ability to segment your Email Campaigns to high risk groups by using the “Patient Diagnosis” and “Customer Characteristics” criteria. This allows you to send this Telemedicine campaign to your customers who fall into the high risk categories recommended by the CDC who should not be physically visiting your office during this time.

1.

In the Campaign Builder, select the “Introducing Telemedicine” template from the Educate Clients section.

Make any edits or personalizations you wish to the email template, then tap Save & Continue.

3.

On the Select Recipients step, select Create My Own Criteria from the Advanced Options.

4.

Segment by age to target individuals who fall into the high risk age range as recommended by the CDC:

a) Select Add Criteria

b) Select Customer Characteristics

c) Input the desired age range

Segment by Patient Diagnosis to target individuals with conditions classified as high risk by the CDC:

a) Select Add Criteria

b) Select Patient Diagnosis

c) Select the conditions listed from your Patient Management System that correspond to high risk conditions

Online Scheduling

You can configure your Demandforce Portal so that customers are able to book Telemedicine appointments with your office from the Telemedicine Email Template (mentioned above), Demandforce Recall Reminders, and from Demandforce Local:
1.

Select “Settings” at the top of the DF portal.

Select “Online Scheduling” on the left under the “Manage” section.

Under “Appointment Types” add any new Telemedicine types that providers want to offer.

Select “Save” in the bottom right

This will add Telemedicine appointment types to the Demandforce Appointment Request Form so that patients can select them when booking from an email campaign, recall reminders, or Demandforce Local.

Appointment Reminders

You can set up a custom Appointment Reminder plan specifically for customers with Telemedicine appointments in order to include instructions that walk your customers through their virtual appointment:

First, in your Patient Management System, set up a procedure code to use for all Telehealth appointments.

 

Then, create a new Appointment Reminder Plan for Telehealth patients in Demandforce:

1.

Login to your Demandforce Portal and go to Appointments > Reminder Settings.

2.

In the top right hand corner, tap +Create New to set up your new custom Appointment Reminder track.

3.

Title your Reminder Name “Telemedicine”

4.

For Procedure, input the procedure code that your office uses to indicate Telehealth appointments in your Patient Management System.

5.

Write the messaging you’d like to use for each type of Appointment Reminder message, including the special instructions and links on how to sign in to their Telemedicine appointment, and configure the timing that you’d like these messages to get sent out.

6.

Press Save Plan at the bottom when you are ready to publish.

Back on the Reminder Settings page, be sure that the toggle is switched ON for the new track you just built.

Set the priority for your Telemedicine track to “1” by clicking the Settings gear on the top right. This ensures that all customers who are scheduled with a Telemedicine appointment receive this Appointment Reminder plan over other appointment reminder plans they may also qualify for.

Your Telemedicine provider may have their own appointment reminder notification system. If they do, you may want to configure your Demandforce notifications in a way so that your Telemedicine patients don’t receive duplicate reminder notifications from your practice:

First, in your Patient Management System, set up a procedure code to use for all Telehealth appointments.

Then, create a new Appointment Reminder Plan for Telehealth patients in Demandforce:

1.

Login to your Demandforce Portal and go to Appointments > Reminder Settings.

2.

In the top right hand corner, tap +Create New to set up your new custom Appointment Reminder track.

3.

Title your Reminder Name “Telemedicine”.

4.

For Procedure, input the procedure code that your office uses to indicate Telehealth appointments in your Patient Management System.

5.

Delete all reminder messages for each reminder type that overlaps with the timing of the reminders that are sent from your Telemed platform. Optionally, you can add any additional reminders that you’d like to send your Telemed patients that do not overlap with your Telemed platform’s reminders.

6.

Press Save Plan at the bottom when you are ready to publish.

7.

Back on the Reminder Settings page, be sure that the toggle is switched ON for the new plan you just built.

Set the priority for your Telemedicine track to “1” by clicking the Settings gear on the top right. This ensures that all customers who are scheduled with a Telemedicine appointment receive this Appointment Reminder plan over other DF appointment reminder plans they may also qualify for.

NOTE: If you have purchased Telemedicine through Demandforce, this feature has its own appointment reminders sent on the day of the appointment that are separate from the regular Demandforce reminders. We recommend following the above steps to remove your Day-Of notifications in your Demandforce Portal for your Telemedicine patients.
